Open-air company day with a white marquee, activity stations and adult guests on a lawn

Formats in this category

01

Company Festival

The largest format we run: a marquee, a stage, four activity areas and a crew of eight. It is a daytime programme rather than an evening, built for companies that want one event instead of several. We handle the site plan, the power plan and the timings.

What is included

  • marquee 10 x 15 m with flooring on uneven ground
  • stage deck 6 x 4 m with roof cover, PA 2 x 1200 W and 4 microphones
  • 4 activity areas with equipment and signage
  • crew of 8: compere, 2 technicians, 4 activity hosts, 1 coordinator
  • 2 generators with distribution and cable protection
  • 12 picnic tables, 200 m of bunting, 20 hay-bale seats
  • photo point 4 x 2.4 m with a printed backdrop
  • site plan, power plan and a printed run sheet

The venue needs

A flat, drained area of at least 1500 m2, vehicle access for a 7.5 t truck, a water point within 50 m, and landowner permission for marquee pegs or ballast.

Adaptable within the price

Number of activity areas, marquee size, the stage programme, and whether catering trucks are brought in by you or by us.

02

Family Day

A daytime event for staff and their families, with six supervised activity areas and a compere who runs the timings. Adult-only programme elements, including anything from our Tables & Black Tie range, are never part of a family day - the two do not mix and we do not combine them.

What is included

  • marquee 6 x 12 m with flooring and 10 trestle tables
  • 6 activity areas with equipment, signage and safety matting
  • crew of 6: compere, 4 activity hosts, 1 coordinator
  • PA 2 x 600 W, 2 microphones, 1 generator with distribution
  • photo point 3 x 2.4 m with a printed backdrop
  • 150 m of bunting and 16 hay-bale seats
  • first-aid point with a trained first-aider
  • site plan and a printed run sheet

The venue needs

A flat, drained area of at least 800 m2, vehicle access for a 3.5 t van, a water point within 50 m, and landowner permission.

Adaptable within the price

Activity mix by age group, marquee size, and whether the first-aid point is yours or ours.

03

Company Picnic

A relaxed afternoon on grass: a marquee for shade, long tables, lawn games and background music. Low on production, high on sitting around, which is the point. We bring everything except the food and the drinks.

What is included

  • marquee 6 x 9 m with flooring and 8 trestle tables
  • 12 lawn games with 2 hosts for 4 hours
  • PA 2 x 400 W with background music and 2 microphones
  • 1 generator with distribution and cable protection
  • 100 m of bunting, 12 hay-bale seats, 20 cushions
  • photo point 2.4 x 2 m with a printed backdrop
  • 1 coordinator on site
  • site plan and a printed run sheet

The venue needs

A flat, drained area of at least 600 m2, vehicle access for a 3.5 t van, and landowner permission for pegs or ballast.

Adaptable within the price

Marquee size, the number of lawn games, and whether there is a short award moment on the microphone.

04

Sports Day

Eight timed events, teams in colours and a commentator who keeps the running order. Events are chosen so that fitness levels do not decide the result, and every team scores in every event. Three hours of programme plus prize-giving on the microphone.

What is included

  • 8 timed events with all equipment and marked lanes
  • crew of 5: commentator, 3 event hosts, 1 coordinator
  • 60 team vests in 6 colours and a results board 2 x 1 m
  • PA 2 x 600 W, 2 microphones, 1 generator
  • start and finish gantries, 40 marker cones, 12 m of tape
  • first-aid point with a trained first-aider
  • printed scorecards and 6 printed certificates
  • site plan and a printed run sheet

The venue needs

A flat grass or hard-stand area of at least 1000 m2, vehicle access for a 3.5 t van, and landowner permission.

Adaptable within the price

Event mix, team sizes, the length of the programme, and whether there is a non-competitive track alongside.

On the day

How a open air & company days event runs.

  1. 1

Build: marquee, flooring, stage or stations, generators and cable protection, following the site plan agreed with you.

  2. 2

Arrival and briefing on the microphone, teams or activity groups formed where the format needs them.

  3. 3

The main programme: activity areas open with a host at each, rotations timed by the compere.

  4. 4

Results, prize-giving on the microphone, and a full de-rig that leaves the site as we found it.

Who is in the room

A compere, one host per activity area, technicians on the larger builds, a trained first-aider where the format lists one, and a coordinator holding the site plan and the run sheet.

Before you book a venue

What the room or the site needs.

  • A flat, drained area from 600 m2 to 1500 m2 depending on the format.
  • Vehicle access for a 3.5 t van, or a 7.5 t truck for the festival build.
  • Written landowner or council permission for marquee pegs or ballast.
  • A water point within 50 m, and a route for cable protection across any walkway.
  • A wet-weather plan agreed in advance: the marquee is part of every open-air package.

Set-up and pack-down

Set-up takes up to 3 hours before the event, pack-down up to 1-2 hours after it. That time is included in the price, but it is additional to the programme hours your guests see, so check it against your venue hire.

Not sure if your venue works?

Send us the venue name with your enquiry. We check these requirements against it and tell you before you commit, rather than on the day.

Adults, and no gambling anywhere in our catalogue.

These formats contain no casino-style tables. Where any format in our catalogue does, the chips are symbolic props: not sold, not staked, and never exchanged for money, vouchers or prizes of value. Evening programmes are for guests aged 20+ and over; Family Day is the one daytime format designed for families, and adult-only elements are never combined with it.

Our responsible entertainment rules

Questions we get asked

Questions about this category.

What happens if the weather turns?

The marquee is part of every open-air package, and the run sheet has a wet-weather version with the activities that work under cover. We make the call with you on the morning of the event. If the site itself becomes unusable, we will talk about moving the date rather than running a bad event.

Do you need permission for the site?

You do. We need written landowner permission for marquee pegs or ballast, plus vehicle access and a water point within 50 m. We will send you a site plan to pass on to the landowner or council.

Are children included?

On Family Day, yes - it is designed for staff and their families, with supervised activity areas and a first-aid point. Adult-only programme elements, including anything from our table range, are never part of a family day.

Do you provide the food?

No. Catering and drinks are always organised by you, including on open-air events. We will coordinate with your caterer on timings, access and power, and the site plan shows them where to set up.

Shall we check your date?

Send us the date, the town and roughly how many guests. We will tell you whether the date is free and what the package would cost, in writing. An enquiry does not reserve a date.
